Privacy Policy

How Seateks collects, uses and protects personal data when you use our website, software and services.

1. Scope

This policy applies to the website of Seateks Applied Technology Co., Ltd. ("Seateks", "we", "us") and to the software, web apps, mobile apps, platforms and services that Seateks develops, releases or operates (together, the "Services").

When Seateks builds or operates software for a business client, that client is usually the controller of its end users' data and Seateks processes it under contract. In that case the client's privacy policy and our contract with the client take precedence.

2. Data we collect

We collect only what we need for the purposes below:

  • Data you give us: name, email, phone number, company name and message when you submit the contact form or talk to us.
  • Account data: login details, role and settings when you use software that has accounts.
  • Usage and technical data: IP address, browser and device type, operating system, access logs, timestamps and errors — used to run and secure our systems.
  • Transaction data: billing and payment details when you buy a service. Card data is handled by our payment partners; Seateks does not store full card numbers.
  • Content you put into the Services: data, files and text you upload or enter.

3. How we use data

We use data to:

  • Provide, maintain and improve the Services.
  • Answer consultation requests and provide technical support and customer care.
  • Perform contracts, invoice and collect fees.
  • Detect and prevent fraud, abuse and security incidents.
  • Send service notices; send marketing only with your consent, which you can withdraw at any time.
  • Meet legal obligations and lawful requests from competent authorities.

4. Legal basis

We process personal data based on your consent, the performance of a contract with you, Seateks' legal obligations, or other grounds permitted by law — in line with Decree 13/2023/ND-CP on Personal Data Protection, the Personal Data Protection Law and related Vietnamese regulations.

5. Data used by AI features

Some Services include artificial intelligence features. Data you put into these features is used only to produce results for you. Seateks does not use client data to train shared models without the client's written consent.

When we use third-party AI model providers, we choose providers with appropriate security commitments and send only the data needed to handle the request.

6. Sharing

Seateks does not sell personal data. We share data only with:

  • Service providers that help us operate (cloud hosting, email, payments, analytics, AI) under contracts with confidentiality terms, and only as far as needed.
  • Competent authorities when the law requires it.
  • A successor in a merger, acquisition or asset transfer, provided it keeps protecting the data under this policy.
  • Others with your consent.

7. International transfers

Some of our infrastructure providers host servers outside Vietnam. When data is transferred abroad, Seateks follows the procedures and safeguards required by Vietnamese law.

8. Retention

We keep data for as long as needed for the purpose it was collected, or longer where the law requires it (for example accounting records). Contact form data is kept for up to 24 months after our last exchange. After that it is deleted or anonymised.

9. Security

We apply reasonable technical and organisational measures: encryption in transit (HTTPS/TLS), role-based access control, regular backups, logging and monitoring. No system is perfectly secure; if an incident affects your data, we will notify you and the authorities as the law requires.

10. Your rights

Under personal data protection law, you have the right to:

  • Be informed about how your data is processed.
  • Access, view and get a copy of your data.
  • Correct inaccurate data.
  • Withdraw consent, and ask us to delete or restrict processing of your data.
  • Object to processing for marketing.
  • File a complaint or take legal action as provided by law.

11. Cookies

The website uses cookies that are needed for it to work (for example remembering your language). If we use analytics or advertising cookies, we will ask for your consent first. You can block or delete cookies in your browser settings; some features may then stop working.

12. Children

The Services are not intended for children under 16. We do not knowingly collect children's data; if we find any, we delete it.

13. Changes to this policy

We may update this policy. The date at the top shows the latest version; for material changes we will give notice on the website or by email before they take effect.
